Bids are hereby invited for the following: Provision of events management and equipment services at Rand Water Communication & Stakeholder Relations Division for a duration of 5 years. Scope: The successful service providers will be responsible for providing the following: • Venues or marquees to accommodate up to 3500 people. Specifications on the numbers will be different based on the event and the number of invitees - sometimes venues / marquees required may be to accommodate 200, 300, 400 or 600, 1000, 2000 and/or 3500 - so the service provider should be able to accommodate various venues / marquee sizes when required, • Venues / Marquees required must have sufficient or at least a minimum of six (6) air conditioners in summer, • Venues / Marquees required must have a minimum of six (6) heaters in winter, • Ordinary Tents, • Main Marquee with plastic chairs without covers, • VIP Marquee: tables and chairs with covers, • Flooring, • Engineering certificates, • Information Desk Marquee: table with plastic chairs, • Décor and stage set-up, • Catering: All foodstuffs are to be transported in a hygienic manner, or use of appropriate refrigerated trucks or vans. Preferably all meals are to be prepared within l0 km radius from site where meals would be served. Facilities to be provided in case of delays, to keep the food warm until such time that it is required to be served, • Cutlery, • Catering equipment, • Staging and Trussing equipment, • Podium set-up, • Generators, • Trophies, • Certificates, • Medals, • Photography, • LCD screen, • Videography, • Indoor and outdoor audio-visual equipment, including PA, • Sound, and Lightning, systems, including complete systems and equipment to accommodate live Bands, • Virtual simultaneous interpretation systems which can cater to ten (ten) South African languages, including sign language, • Musicians, • DJs, • MCs, • Ushering, • Marshals including marshal/usher identification, • Name tags and lanyards, • Security, • Undertake VIP umbrella escort upon arrival and departure in cases of extreme weather conditions, • Preparation and printing of invites, programmes etc, • Transport - public transport vehicles - buses and taxis and VIP vehicles as and when required. An inspection certificate from the transporter confirming safety standards (Road Worthiness Certificate) must be provided and where possible a local based service provider to be utilized, • Parking arrangements, • Toilets: Where required flushable portable toilets for the community and VIP"s must be provided separately and must be placed in close proximity of each tent. There shall be separate toilets for Male, Female and Handicapped Guests.
