Information is hereby requested for the following: Specifications for a time and attendance system for the University of Pretoria. The primary focus of the Request for Information (RFI) is to assess the types of systems available, the varieties of devices on offer, and how these devices and systems can be utilized to meet the requirements as set out in this RFI document. Specifications: The following functions are done in the People Soft system: Upload Daily MS Excel spreadsheet to maintain shift inputs with the following fields: • EMPLID (Employee Identification); • Date worked; • Shift type; • Site ID; • Hours. Capture leave forms: • Manual leave forms are completed by Security Services and captured on the Easy Roster system where after it is sent to the PeopleSoft administrator for capturing on PeopleSoft HCM to be able to manage leave and payment of staff members. Backdated transactions: • Transactions from the previous month to be fixed, either due to leave forms received late or a shift not paid correctly. Auditing of attendance registers by generating a Roster report: • The report is delivered in PDF format and attached to signed rosters for the specific date and shift. Each site should be checked to ensure that all information captured on Easy Roster is correct for payment. Mistakes are be sent back to the Easy Roster administrator for correction. Scope: • Validate and refine the current relational database"s Extended Enterprise Relational Diagram (EERD) architectural design, which is used to store medical scheme rules of the structural characteristics of benefit designs; • Design a front-end web-based form for medical scheme administrators/officers to capture structural characteristics of benefit designs; • Design a user-friendly data entry interface that must be accessible through a web portal; • Design a User Management Module for the web forms to allow for CMS to approve registered users to capture data; • The solution must integrate with the current CMS data sets (must be linked to the CMS database); • The solution must provide capability to generate user access management reports; • The solution must be able to support the CMS survey questionnaire and the decision support system in the future; • The solution must enable Medical Schemes to capture information on benefit option in a secured manner; • The solution must be cloud-based or cloud-hosted, but the code and intellectual property (IP) of the system will remain the property of the CMS; • Must be able to upskill and share knowledge of the system with CMS staff year on year, this will be outlined in the SLA agreement once vendor is appointed; • Include set-up cost for the duration of the project; • The solution should preferably be implemented on Microsoft Azure. This is a one-time project; the ongoing management of the database system will be the responsibility of the service provider.
